Executive Assistant to CEO – admin/office

Reports to: President and CEO of both parent company and subsidiary

The Position:
Reporting to the Chairman and CEO, the Executive Assistant will be responsible for providing confidential executive level administrative and support services. Will be responsible for completing a range of administrative tasks based out of the Montreal Office.

NOTE: Must be fluent in BOTH English and French – both spoken and written.

Key Responsibilities:
Executive Support – Provide confidential administrative support to the CEO. This includes maintaining the CEO’s calendar by planning and scheduling meetings, following up on telephone and email inquiries, and taking minutes at meetings.

Database Management -Responsible for updating investor and customer databases.

Travel Coordination – Responsible for all travel arrangements for the CEO and Board Members as required.

Expense Reports – Compile and complete expenses reports.

Event Coordination – Support the coordination of Company related events (open houses, site visits, staff functions, board meetings) – secure meeting locations, travel arrangements, catering, etc.

Presentations – Assist with Corporate Presentation preparation.

Communications – Assist with drafting and editing of communications and other documents as requested.

Board meetings – Assist with the planning of board meetings, including scheduling invitations and assisting in the coordination of the CEO’s presentation.

Insider Trading – Proactively preparing insider trading filings for insiders.

Office coordination – Maintain and organize the day to day office operations, answering incoming calls and correspondence, greeting guests, and clerical tasks.

Flexibility – Available outside of regular business hours from time to time to provide support on urgent matters as required. A passport is needed as some travel opportunities may arise.

Qualifications and Experience:
Experience – A minimum of three years’ experience supporting at a senior management/executive level.

Technical – Strong knowledge of MS Office, including Word, Excel, PowerPoint, Outlook. Databases and public mining company experience would be a real asset.

Communications – Excellent verbal and written skills in both English and French.

Reliability – Demonstrate commitment to completion of projects on a timely basis.

Multi-task – Exemplary time management and organizational skills with the ability to work on multiple projects simultaneously.

Organization – Extremely organized and detail oriented.

Characteristics – Extremely dependable with a professional attitude and a strong focus on customer service.
