Administrative Assistant, Translation Services

Position Summary:
This role reports to the Manager of the Translation Department and will be supervised by the Manager, Legal Support. The ideal candidate will be proficient in word processing software (Word, PowerPoint and Excel), and will be highly detail-oriented. This role will be responsible for providing administrative support to Dentons’ Translation Services professionals by executing various document production-related tasks with computer tools.
Responsibilities:
Format the various types of documents that translators are called upon to translate, including presentations and more complex formatting (flow charts, tables, graphs, etc.);
Transcribe dictations, mainly in French but occasionally in English;
Format documents that are processed by the Translation Services team;
Make the changes that are requested by the translators (by dictation or on paper) in the documents;
Convert documents and tables that were sent in pdf format to other formats so the content can be translated;
Perform general secretarial work, as required; and
Other duties as assigned.
Requirements:
College or professional diploma in office automation or any other appropriate training coupled with pertinent professional experience;
At least five (5) years of experience in a similar position; and
Experience working in a professional services environment is preferred.
Core skills
Excellent knowledge of Word, PowerPoint and Excel;
Fluent in both French and English (oral and written);
Good typing speed;
Highly organized, ability to prioritize, detail-oriented and quality-driven;
Ability to manage multiple files at once and work under pressure;
Lively, resourceful and versatile;
Ability to work autonomously and as part of a team; and
High level of discretion.
