Personal Assistant – admin/office

Personal Assistant needed immediately to save the sanity of very busy Performing Artist.

Requirements:

Must be computer savvy, able to use various software, search engines, electronic calendars, proficient in Microsoft Office (Word, Excel. PowerPoint, Outlook, etc.)
 and fluent in French and English.
Must be super organized, able to react quickly, and be creative with problem solving.
Minimum of at least 3 years related experience.


Must be a person with: Discretion, courtesy and professionalism. Professional presentation. Good natured, honest, trustworthy, dependable, prompt, never late.

Excellent time management and organizational skills — and the ability to impose your organizational skills upon me, will be essential for success in this job.

Duties Include but are not limited to:
Manage and respond to mail and email (i.e. invitations, rsvps, etc.) in French and English.

Prepare correspondence and keep track progress of requests

Update website
Screen calls and take initiative to obtain receipts and vouchers for all out of pocket expenses and prepare the necessary expense accounts

Participate in hands-on special projects such as event planning — for corporate affairs


Personal – Related Responsibilities will include, but not be limited to:


Coordinate international travel arrangements (airline, hotel, transfers, visas, etc)
 
 

Manage medical and dental claims

Monitor miscellaneous subscriptions and memberships

Contribute to the organization of special events

Carry through various ad hoc requests, such as purchasing office supplies and sometimes groceries for the home, dropping off and picking up dry cleaning, dog food, etc.

Photoshop and ability to read Music would be a great PLUS,
Driving also would be a great advantage.

Most important to this job is an independent person because I travel a lot, and need to know I am leaving my office in capable hands, and a flexible person who can be even keeled- and good natured. If you love classical music you will have lots of tickets to musical concerts as a perk!
